A growing team doesn't have to mean growing administrative costs.

In service companies, the greatest potential lies in tool licenses, subscriptions, office rent, and subcontractor agreements: areas rarely subject to systematic audit.

Typical challenges

  • 01

Licences and subscriptions billed per user, with no review of actual usage

  • 02

A lease signed for a different headcount and a different way of working

  • 03

Space or equipment paid for in full and used for a fraction of the time available

  • 04

Overlapping tools with the same function, bought independently by different teams

  • 05

Subcontractors and freelancers billed at individually agreed rates, with no common rate card

  • 06

Contracts renewed automatically, without testing the market or renegotiating at renewal

  • 07

Insurance terms left unchanged despite growth in the scale of the business

  • 08

Subcontracting costs passed on to the client at less than their full value

How we approach this industry

We review the cost of tools, licences, rent and subcontracting as a single portfolio rather than as separate lines in different departments' budgets — because it is that split which stops anyone seeing the whole. The largest findings are usually where cost grows automatically with headcount and nobody checks how many people actually use what is being paid for. Separately we measure the use of resources paid for in full: space, equipment, hours of availability. Low occupancy is rarely a reason to give the resource up; more often it is a reason to change how it is used — shifting the schedule, opening additional hours, making it available outside peak times. In parallel we renegotiate leases and insurance, where a longer, stable commitment is often good currency in exchange for a better rate. Organisational changes are tested on a selected slice before any full rollout.
